Administrative Assistant
Summary: Provides support to Administration and Management staff by performing the following duties:
Essential Duties and Responsibilities: Includes the following; other duties may be assigned.
- Receives Operator calls on agency main phone line, transfers calls, supplies information, and records or delivers messages as appropriate. Operates intercom and paging system to relay in-house announcements.
- Maintains Administration visitor logs, distributes visitor badges, and receives and directs inquiries from agency visitors and staff.
- Serves as gatekeeper for Administrative staff.
- Receives, prepares, and processes agency mail including certified and bulk mailings, as well as other agency or office communications as assigned by the Executive Administrator or other Management staff.
- Coordinates scheduling of agency conference rooms, gym, and other building areas/property, as well as reservation of media equipment.
- Maintains Facility Rental Agreements and processes payment for rentals.
- Submits maintenance, help desk, and/or coffee cart requests for agency functions.
- Assists in processing the monthly Board Packet: preparing Community Engagement section sending out Media Notifications, copying and disseminating Board Packets to stakeholders, etc.
- Works with IT to maintain agency interoffice telephone directory and Polycom phone extension list.
- Participates on or assists with agency committees as assigned by the Executive Administrator.
- Copies and assembles materials for meetings as requested by Executive Administrator or other Management staff.
- Operates copy machine and postage meter and is responsible for supplies and maintenance.
- Performs clerical duties such as typing, faxing, copying, filing, and proofreading as requested by Executive Administrator or other Management staff.
- Handles confidential material as assigned by the Executive Administrator or other Management staff. Maintains Office Aides assigned to Administration, coordinates and monitors their duties on a daily basis, and reports back to the Executive Administrator.
- Tracks inventory and orders supplies for Administration Office and Records Department.
- Works on Special Projects as assigned by Executive Administrator or other Management staff.
- Serves as back-up for the Executive Administrator tasks including taking Minutes at Management Team meetings and Board Meetings and completing post-Board Meeting tasks, as needed.
- Establishes a positive atmosphere and promotes quality customer service and experience.
Qualifications: High school diploma or general education degree (GED); related experience and/or training preferred at least two years’ experience in a similar position.
Applicant must meet the additional requirements below…
- Must meet agency computer competency level requirements. To perform this job successfully, an individual should have knowledge of Database software; Spreadsheet software and Word Processing software. Adobe, Word, Excel, PowerPoint. Must be proficient in Adobe, Word, Excel, PowerPoint and Outlook.
- Must meet agency driving requirements. Must hold valid State of Ohio driver’s license.
- Must successfully complete a BCII background check.
- Must meet all other agency employment requirements. Must meet all requirements as outlined on the corresponding job description.
Salary: Minimum of $31,360 annually; to commensurate with education and experience
Hours: 40 Hours per week; non-exempt
Available: Immediate start available
